Share Files in OneDrive
You can share your files and folders with SPU and non-SPU accounts by following the steps below.
Step-by-step guide
- Click the Share icon next to the file or folder you would like to share:
- In the window that opens, click "Only the people you specify will have access to edit", then select who and what level of access you wish to give, as seen in the images.

- Choose whether or not you want to allow view only or edit access to the file/folder and select Apply.
- If you choose the "Anyone with the link" option, there will be a default expiration date set for 30 days. You can modify this date, but it may be no longer than 30 days. You may also set a password for the file/folder sharing link.
- For access for select people, enter the email address(es) of who you wish to have access. You have the option of sending a notification.
- The system will generate a link you can share and email to others, allowing them to either view or edit the file/folder, depending on which option you chose.
- Copy and Paste the link so you may use it later, or type in the SPU users email and hit Send.
To Change or Remove Permissions on a Shared Folder
If you wish to disable this link later, or easily add more individuals to view/edit the file/folder, follow these steps:
- Complete steps 1-2 above.
- In the Send Link window, click the three dots in the right corner. Click Manage Access.
- This will open a pane with options to adjust link settings or grant additional people access.
- Click the three dots next to the link to adjust or discontinue sharing.

Invitations that are emailed and not accepted within 7 days are automatically disabled. If a contact does not accept during that time, you will need to re-send your sharing invitation, by following the steps above. Additionally, it may take up to 20 minutes for their permissions to appear in the Shared with section. Once you select "Share" you can be sure the permissions have been setup properly from your end.
