Microsoft Campus License Agreement

Overview


Microsoft licenses Microsoft 365 (formerly Office 365) services to SPU based on named user licenses as of July 1, 2020.  Compared to prior licensing agreements, this license structure has increased service to most employees and current students, but has required more precise tracking of license allocations and decreased service to alumni and some other populations.

As an SPU user, you can check what license you have been granted by following these steps:

  1. Log into the Banner Info System (www.spu.edu/banweb) with your current SPU Username and Password

  2. Select Personal Menu

  3. Select Computer Accounts Menu

  4. Select Manage Your Accounts

  5. Find the "Email Account" Resource and note the value under the License header.

License Summary


Faculty & Staff Licenses

Most employees are classified as Knowledge Workers, and are assigned an A5:Employee license.  Employees who use a computer for less than 50% of their job and/or only use Microsoft Office from shared computers will generally be assigned an A1:Employee license.

Student Licenses

The A5:Student license will be removed not the last day of class in the term that the student is last registered for. If a student is registered for an upcoming quarter (e.g. spring to fall) the license will still be applied during summer.  At that time, students will be switched to an Alumni license.

Students will also lose access to OneDrive and all files will be purged one year after graduation or otherwise ceasing to attend classes. Files should be moved to a personal location, such as downloaded to their computer, moved to a personal OneDrive or other online storage location, as they will not be retained long-term.

Student Employees Licenses

Student Employees count as Students and are assigned A5:Student. This license is available for the duration of time that they are a student employee.

A5: Student

All features of ExchangeOnly, plus:

Emeriti Licenses

Emeriti Faculty will retain the A1: Employee license.  If after becoming Emeriti, an individual wants to use the desktop applications, they will need to purchase their own personal Microsoft license.

Alumni Licenses

SPU Alumni have a Microsoft license that contains only a mailbox.  Alumni will lose access to OneDrive and all files will be purged one year after graduation or otherwise ceasing to attend classes. Graduates should should also move all files to a personal location, such as download the files to their computer or move them to their own personal OneDrive or similar cloud service.
