Backup & Import Outlook Signatures

When using a new device, Outlook signatures is one item that is often never backed up. This article will walk you through the steps of exporting your Outlook signatures, then importing them as needed.

Backup Signatures

Access Signatures Folder

Since the release of New Outlook, the user interface can look a bit different then of it predecessor. With this, navigating to certain features might look different. Please refer to the version you use below in order to access the Signatures folder.

  1. Click File in the top left-hand corner, followed by Options in the bottom left-hand corner

  1. Click Mail, hold Ctrl on your keyboard and click Signatures…

New Outlook doesn’t have a built-in method to find the Signatures folder like the previous Outlook app. So you will have to find the folder through Windows Run.

  1. Click on the Windows key and R and the same time.

  1. Type %userprofile%\AppData\Roaming\Microsoft\Signatures into the window and click on OK. 

  2. This opens the Signatures folder. 

Copy Files

  • Once the Signatures folder is open, backup ALL of the files.

  • Copy it to your OneDrive as it will be uploaded to the cloud and will be easily accessible in the future.

Import Bookmarks

  • To import bookmarks, you will follow the same steps to access the Signatures folder, then move the files from OneDrive into the Signatures folder.
