There are times in the workgroup/office setting when it is helpful for others on your team to access your calendar. Below are instructions for enabling this powerful features in Microsoft Outlook 2010 and 2013.

Give Permissions to Another Person

These steps should be followed in order to grant other Outlook users access to a Calendar.

  1. View the Calendar in Outlook by clicking on the Calendar tab on the bottom right of the main Outlook window
  2. Select the Calendar that should be shared with or visible to other users
  3. On the Home tab at the top of the screen, click on the Share Calendar button
  4. In the To... box, enter a list of recipients that should be able to view the calendar
    1. Optionally, enter a Subject Line to send with the calendar request
    2. Optionally, check the box Request Permission to view Recipient's Calendar. This will send a request to view the calendar of each person specified in the To... box
  5. In the drop-down box labeled Details choose the level of detail each person specified in the To... box can see on your calendar
  6. Click Send to send your shared calendar request to each user specified in the To... box

 

To see more advanced sharing options, click on Calendar Permissions instead of Share Calendar in step 2 above. More information on calendar permission roles can be found on Microsoft's website.

Open a Calendar Shared by Another Person

Following the above steps will generate an email message to each user that is specified in the sharing request. If the message appears in the user's inbox, they can click Open Calendar to complete the sharing process. Otherwise, these steps can be followed to complete the sharing process.

  1. View the Calendar in Outlook by clicking on the Calendar tab on the bottom right of the main Outlook window
  2. On the Home tab at the top of the screen, click on the Open Calendar button, and the From Address Book... option in the menu that appears
  3. Enter the name of the person whose calendar should be viewed and click OK.
  4. The calendars of the specified users will open in the Calendar window.
