2.2 Student Enter Time Worked in Time Tracking

Audience: Student

Purpose

This job aid guides hourly employees through the steps to enter time in Workday.

Navigate to Time

From the Global Search Bar

  1. Type in enter my time, then select the Enter My Time report.

  2. The Enter Time Calendar will display.

From the Worker Profile related Actions button

  1. Select Time and Absence, then Enter My Time.

  2. The Enter Time Calendar will display.

From the Global Navigation Menu

  1. Select Time.

Enter Time Worked

 

NOTE: ♦  QUARTER-HOUR ROUNDING

The number of hours worked are calculated using the quarter-hour rounding method. This means that arrival and departure times are rounded to the closest quarter of the hour when reporting hours on a timesheet.

If an odd number of minutes are usually worked (Example: one hour 20 minutes three times per week), talk to your supervisor about how to make sure you are not shorted on your hours. Since 20 times three equals one hour over the course of the week, entering 15 minutes twice during the week and 30 minutes once would balance out to one hour.

If an employee arrives or leaves between:
:00 to :07 minutes after the hour, enter as the top of the hour 
:08 to :22 minutes after the hours, enter as a quarter after the hour
:23 to :37 minutes after the hour, enter as the half hour
:38 to :52 minutes after the hour, enter as three quarters past the hour
:53 to :60 minutes after the hour, enter as the top of the hour

Examples:
Arriving at 8:07 am would be entered as 8:00 am
Arriving at 8:08 am would be entered as 8:15 am
Arriving at 8:23 am would be entered as 8:30 am
Arriving at 8:38 am would be entered as 8:45 am
Arriving at 8:53 am would be entered as 9:00 am

 

Enter Time Using Check In/Out

Depending on your organization’s configuration, you can enter time worked based on check-in and check-out times.

Navigate to the Time application page:

  1. Select Check In.

  1. Enter the time type and details.

  1. If you have multiple jobs, you can select the position you are entering time for.

  2. Select OK.

  3. After you have completed your work, navigate back to the Time application, then select Check Out.

  4. Select a reason for check out.

  5. Select OK.


Enter Time by Week

You can enter time worked based on hours per day.

From the Time application off the Global Navigation Menu:

  1. Under Enter Time, select This Week, Last Week, or Select Week then select the date corresponding with the week.

  2. Select OK.

  3. On the time entry calendar, select the day for which you want to enter time.

  4. The Enter Time window displays. Complete all required fields.

  1. Select OK.

  2. Complete all calendar entries according to the time worked. The Total Hours update and display above the calendar.

  1. Select any time block to make necessary corrections.

  2. In the time block window, select OK to save corrections or Delete to remove a time block.

  3. Select Review, then Submit.


Submit Time

From the Enter Time Calendar:

  1. Select Review to submit your time. The Review button will only be actionable when there is time to review and submit.

  1. Select the Period to submit and then select OK.


View Details of Submitted Time

From the time entry calendar:

  1. Select a time block to view detailed information about your time entry.

  2. Select the View Details button.

  1. Select the Reported tab to view reported work time.

  2. Select the Calculated tab to view calculated time.

  3. Select the History tab to view the process history of a particular time entry.


Modify Previously Reported Time

From the Time application:

  1. Under Enter Time, click Select Week.

  2. Select a date corresponding with the week.

  3. Select OK. Your reported time displays on the calendar. Approved items display with a green bar on the left side of the time block and an Approved status.

  1. Select the time block. A window displays.

  2. Edit the details of the time block and select OK or Delete.
