Sharing and Collaboration - Microsoft Forms

Overview

Microsoft Forms makes it easy to share your forms, quizzes, and polls with others, as well as collaborate on their creation. Whether you’re working with a team or distributing a form to a large audience, this guide will walk you through the sharing and collaboration features available in Microsoft Forms.


Once your form, quiz, or poll is ready, you can share it with your intended audience in several ways:

Via Link

  1. Click Collect responses and copy the provided link.

  1. Share the link via email, messaging apps, or social media.

Via Invitation

  1. Click Collect responses and then select Invitation [1].

  2. You can edit the invitation message before sending it.

  3. Select Outlook or Teams as the platform you’d like to send this form through.

  4. Click Send [2].

Via QR Code

  1. Click Collect responses and then select QR Code.

  2. Download or copy the QR code.

  3. Share the QR code on printed materials, presentations, or digital platforms.

Via Embed Code

  1. Click Collect responses and then select Embed.

  2. Copy the embed code.

  3. Paste the code into your website, Canvas course, or blog to display the form directly on the page.

Setting Permissions

When sharing your form, you can control who can view and respond to it:

  • Anyone can respond

  • Only people in Seattle Pacific University can respond

    • Disable Record name to allow respondents to submit responses anonymously.

    • Enable One response per person to limit the amount of responses they can submit.

  • Specific people in Seattle Pacific University can respond

Collaborating on Forms

Microsoft Forms allows you to collaborate with others on the creation and editing of forms, quizzes, and polls. Here’s how to add collaborators:

Adding Collaborators

  1. Open the form you want to share.

  2. Click the More Options (•••) button and select Collaborate.

  1. Determine who will be able to collaborate on the form by selecting the dropdown:

    1. Anyone with an Office 365 work or school account can edit and view

    2. People in SPU with a link can edit and view

    3. Specific people in SPU with the link can edit and view

  1. Copy the link and share it with those you want to collaborate on the form.

  1. Select Get a link to duplicate to generate and share copies if you prefer separate forms for collaboration.

Dashboard

  • Select Share with me in the dashboard to view the forms you are collaborating on with others.
