Managing OneDrive Storage
Overview
Manage your OneDrive storage to prevent limit overages and subsequent performance issues within Microsoft 365.
Why Manage OneDrive Storage?
Exceeding the storage limit can slow down or fully prevent proper OneDrive performance, such as pausing syncing and existing files becoming read-only. Regular maintenance ensures:
File sync and backup.
Compliance with storage policies.
Files can be edited and saved.
New file uploads.
Instructions
Check Current Storage Usage
Sign in to OneDrive.
Check the Storage section in the bottom left column,
Click on the storage usage amount for more info.
Review Largest Files
Sign in to OneDrive.
Navigate to the Storage section on the bottom left column > click on the storage usage.
The largest files will automatically be sorted to the top.
Export/Delete Data
Export: Either in the Storage section or My Files, check the boxes of the files you want to move > Download
Make sure to review that these downloaded successfully to your local file storage before deleting.
Delete: With the files still selected in OneDrive, select Delete > confirm the deletion.
Upload Files to an alternate cloud storage
For SPU Business related documentation, consider if a Department SharePoint site is a better location to store content that colleagues or future employees may need in a similar role. SPU data should not be stored in personally-owned file storage.
