Please read below for common questions regarding the utilization of all of SPU’s hybrid classrooms and additional educational software.

One in-person student in each group must have a device with conferencing abilities & join the Teams meeting, so the remote students can hear and see the in-person teammates. In-person students should use only one device per group to avoid creating an echo in their breakout room.

Depending on the size of your room, the number of in-person students, and the number of breakout groups, you may need to spread across multiple classrooms. If groups are too close together, they will get picked up on each other’s microphones.

  • Teams chat & whiteboard

    • In-person students can also join the Teams meeting on a personal device, as long as they mute their device mic & speaker to prevent a room echo.

  • Shared documents

    • They can use live editing & comments to collaborate in real time

  • Live discussion

    • Rooms like CREM202, DLMH118, and OMH109 have room microphones, allowing both in-person and remote students to engage with each other with ease.

    • Rooms like DH150 & EH112 have additional microphones that can be passed around the room for hybrid engagement.

  • Microsoft Class Notebook

    • Within Canvas, OneNote can be embedded for collaborative note-taking.

  • Raise Hand function in Teams

    • If remote students don’t prefer to interrupt class, have them use the raise hand button. You can also have an in-person student monitor the Teams meeting for raised hands.

  • Microsoft Forms

    • Provide a form link that allows for multiple submissions so they can submit questions or comments throughout class. Then, these can be reviewed during class together.

  • Chance of a fully online class session: Students who sign up for in-person classes need to be prepared for an emergency online class, if the scheduled hybrid classroom malfunctions and it is determined that it cannot be fixed before the next class session.

    • Please note: a majority of the time, another hybrid room is available during the scheduled class, but it is not guaranteed to be the same hybrid design. Therefore, it is up to the professor whether they can transition to another setup temporarily or want to simply revert to a completely online class session.

  • In-person students utilizing the Team chat: they will need to join the meeting from their phone or laptop AND ensure their mics & speakers are fully muted to avoid an echo in the room.

    • Chat monitoring: if they do join the chat, it may be ideal to ask them to monitor the chat for remote participant input & questions.

  • Hybrid breakout rooms: in-person students need to bring a device with conferencing abilities (built-in camera & microphone).

  • Inform them of recording: if you plan on recording any sessions, students must be informed in advance if they want to opt out of the class.

  • Join Teams meetings through their SPU account only: If students join via an external email, they will not have their assigned SPU license and lose functionality. For example, they would not be able to join a breakout room.

Depends on the classroom:

OMH109 - has room microphones & an audience camera, such that students don’t need to move to the front of the room to be seen and heard by the remote participants.

  • Note: the audience camera needs to be manually selected, and the audience mics need to be unmuted. When the ceiling mics are lit up green, they are unmuted.

DH150 & EH112 - grab a handheld mic and come to the front of the room, as there is only one camera capturing the front of the room.

DH356 & DH261 - the lapel mic will need to be transferred to them and come to the front of the room, as there is only one camera capturing the front of the room.

CREM202 & DLMH118 - have room microphones & an audience camera, such that students don’t need to move to the front of the room to be seen and heard by the remote participants.

You can use a Meeting Owl or your laptop’s built-in microphone/camera.

Meeting Owls are division-provided or can be checked out from the library. These are best for small, interactive classes.

Your laptop’s built-in features are best for a lecture-style class.

Display your content to a classroom’s projector or TV while simultaneously sharing your screen in your Teams meeting. So, the device you use to share your content must be joined to your Teams meeting.

  • If this device is acting as a secondary host (such as in CREM202 & DLMH118, where the meeting is primarily hosted by the Teams Room touch panel), make sure to mute your mic and speaker to prevent a room echo.

It would also be ideal to share your teaching materials in advance with all students.
