Overview
Instructors often need to share their screen in Microsoft Teams to guide students through lessons, demonstrate tools, or walk them through assignments step-by-step.
Whether teaching online or in person, screen sharing makes instruction more visual, interactive, and easier to follow. It allows instructors to show exactly what they want students to see, slides, websites, or live demonstrations, so students don’t miss important instructions in any learning environment.
Microsoft Teams offers multiple ways to share your screen depending on your teaching needs. Please refer to the table of contents on this page to navigate and explore each screen sharing option.
Three Ways to Share Screen
Here are three ways instructors can share their screen on Microsoft Teams:
A. Share Entire Screen (Desktop Sharing)
B. Share a Specific Window or Application
C. Share PowerPoint Live or Microsoft Whiteboard
D. Share a Whiteboard.
A. Share your entire screen
Join Meeting
Join or start a Teams meeting. Share screen
Share
In the meeting controls (usually at the top or bottom), click the Share icon (it looks like an arrow going up out of a box or a rectangle with an arrow).
Screen Sharing
Under Window / Screen, choose Screen or Desktop.
After sharing Visual
Click Share. Everything on that screen (including notifications) will be visible to participants. You can view your screen or window that you are sharing in the small window of Teams.
Stop Sharing
Click Stop Sharing, when done with the session.
B. Share a specific window/app
In case the instructor doesn’t want to share entire screen, they can choose to open one relevant screen and only share that with the class.
Join Meeting
Join or start the meeting.
Share
Click the Share icon in the meeting toolbar.
Choose Window
In the list of options, scroll to Window or Applications.
Select Specific Window
Click the specific app/window you want to share (e.g., “PowerPoint,” “Chrome,” “Word”).
Screen Visibility to one Window
That single window is shared; other parts of your screen are hidden. Use this when you don’t want participants to see your desktop or other apps.
Stop Sharing
Click Stop Sharing, when done with the session.
C. Share a PowerPoint file (PowerPoint Live)
Join Meeting
Join the meeting.
Share
Click the Share icon.
PowerPoint Live
Under PowerPoint Live, either:
a. Choose a recent file, or
b. Click Browse → upload from OneDrive or This device.
Presenter View Overview
Once opened, participants will see your slides, and you’ll see:
a. Notes (if you have them),
b. Thumbnails of upcoming slides,
c. Tools to move forward/back.
This is great for teaching or presenting because you stay in Teams and can see chat and participants while presenting.
Stop Sharing
Click Stop Sharing, when done with the session.
D. Share a Whiteboard
Whiteboard Use Cases
Use this for brainstorming, drawing diagrams, or group activities.

Screen sharing in Microsoft Teams on the web works the same way as in the desktop app. The main difference is that the web version doesn’t support sharing system audio, so any video you share through a browser will play without sound.
