Microsoft 365 Storage Management Changes - Students

Overview


Due to changes to Microsoft's educational licensing, SPU must resize the campus M365 storage tenant to coincide with updated quotas. Adjusting storage limits and resources will help prevent any overages that result in disrupted application functionality for all users. Please see further data on quota changes here, under License Comparison.

Student resources impacted include:

  • Resizing Outlook inboxes to 5GB.

  • Resizing OneDrive storage to 100GB.

The storage changes will take effect on April 27th, 2026

 

In the following section, M365 Capacity Management, please read the steps on how to check current storage usage in Outlook and OneDrive, and relocate and reduce data as needed. Personal storage overages over the new limits will result in the loss of functionality of M365 applications for individual users.

Please note that previous students' access to OneDrive expires one year after departing from SPU. However, students' SPU email will remain active as long as it is used at least once a year. If the email is marked as inactive, the user will be given notice and a period of time to reactivate, but the email address & mailbox will be removed if no reactivation steps are taken.

Outlook Management

To check the current total storage usage in Webmail, click Settings (gear symbol) > Account > Storage.

Email Forwarding

Forward all incoming SPU emails to an external address rather than maintaining the SPU inbox.

Migrate Inbox Data to Another Service

Move existing data to an external email inbox.

Manage Mailbox Size

Delete or compact data to save space.

OneDrive Management

To check the current total storage usage in OneDrive, sign in and check the storage information in the bottom left column.

Manage OneDrive Storage

Prevent storage limit overages to ensure OneDrive will function properly.
