These instructions will show you how to create an email signature in accordance with SPU's email signature policy.

Windows Instructions

File –> Options

                                             

                       

Mail -> Signatures

 

Download and open the template here:


Copy and Paste the new signature into the text box below:

You can also see the option to add the signature to

  • New Messages - required
  • Replies/Forwards - at your preference


The signature should copy over with the same formatting.

Once you have updated your information, click "OK" and your signature should be saved.

Please do not add any additional logos or images to the signature.

Basic signature template

  • Name (font: Arial, font-size: 11, bold, color: #191919)
  • Position (font: Arial, font-size: 11, color: #191919)
  • Department/Office (font: Arial, font-size: 11, color: #191919)
  • Phone Number (font: Arial, font-size: 11, color: #191919)

MacOS Instructions

Outlook > Preferences

Click on "Signatures"

Click the plus icon to add a new signature. Name it "SPU default" or similar.


Download and open the template here:


Copy and Paste the new signature into the text box below:

The signature should copy over with the same formatting.

Once you have updated your information, click the save/floppy disk icon and your signature should be saved. Then close the window.

Set your new signature as the default for new messages. Replies/Forwards can also use the signature if you prefer.

Please do not add any additional logos or images to the signature.

Update your default font

You can update your default font in the Options > Mail screen as well. Click the "Stationary and Fonts..." button.

 Choose Arial for new messages, replies, and plain text messages.

Once you have set the font in each of the three sections, click OK to save your changes.
